Executive Assistant to Owner and Practice Manager

We are an award-winning outpatient pediatric therapy practice just west of downtown Wichita, dedicated to providing excellent yet playful care for the children and families we serve. Our team includes occupational, physical, and speech & language therapists, along with a strong admin team. Our mission is to help children succeed where they have previously struggled.  

The Position: Executive Assistant to Owner and Practice Manager  

We're seeking an outrageously organized and detail-oriented person who can manage multiple projects at a time while prioritizing which ones matter most. Our ideal candidate will also have insurance billing experience, to be able to assist our Billing Specialist when needed.  

The person in this key position will help maintain the smooth functioning of our practice while upholding our commitment to playful excellence and achieving results. You could be our ideal candidate if you are great at multi-tasking, have an effective way to track tasks for self-accountability, communicate mindfully and would enjoy wearing many hats on a regular basis.  

Key Responsibilities 

  • Manage the practice owner's email communications and calendar scheduling 
  • Assist with health insurance billing processes and documentation 
  • Schedule meetings and appointments efficiently 
  • Document notes during staff meetings whether as a group or individual 
  • Assist with various business-related tasks and projects as requested by the owner 
  • Organize and maintain filing systems, both digital and physical 
  • Plan and coordinate team events and social gatherings 
  • Provide backup coverage for front desk to check in patients, answer phones and take messages 
  • Schedule and coordinate volunteers and shadowers 
  • Coordinate timing of special events, including workiversary gifts 
  • Help with data entry for new hires  
  • Handle sensitive information with appropriate confidentiality 

 

What We Really Need  

  • Strong knowledge of health insurance billing procedures 
  • Excellent organizational and time management skills 
  • Proficiency with Microsoft Office suite (Word, Excel, Outlook, OneNote) 
  • Outstanding written and verbal communication abilities 
  • Detail-oriented approach to all tasks 
  • Team-oriented mindset and collaborative work style 
  • Ability to manage multiple priorities in a dynamic healthcare environment 
  • Ability to anticipate consequences and make decisions on the fly when needed 
  • Professional demeanor and general overall positive attitude  
  • High School Equivalency; Associate's Degree Preferred 

 

Nice to Have List 

  • Prior experience in a medical or other health-related office 
  • Knowledge of medical terminology 
  • Ability to assist with opening or closing the front office on a rotating schedule 
  • Experience with insurance credentialing processes 
  • Outgoing and confident personality paired with humbleness

Hours and Location 

  • 423 N McLean Blvd, Wichita, KS, 67203 (In Delano, close to downtown Wichita) 
  • Monday through Friday, 9:00 AM - 6:00 PM with some flexibility with hours 
  • Primarily an in-office position with option for occasional remote work once fully trained
